Data & Ethics

PDX Live Events is an independent events publication based in Portland, Oregon. Our basic approach is simple: collect information for a reason, use it for that reason, and do not treat personal information as a product.

1. Information You Provide

The information we collect depends on how you interact with PDX Live Events.

Event submissions

When you submit an event, we may collect information including:

• event or artist name
• venue and location information
• dates and times
• categories
• pricing and age restrictions
• descriptions and schedules
• ticket and information links
• social media links
• photographs, flyers, artwork, and other event media
• your first and last name
• your email address
• optional newsletter preference
• Event information and submitted promotional materials may be published after editorial review.

Your submitter name and email address are used for administrative and editorial purposes and are not intended to appear as part of the public event listing.

Artist and performer information

If you submit information about an artist or performer, we may collect information such as:

• stage or act name
• performer type and format
• genre or style
• biography
• social media accounts
• portfolio, audio, or video links
• technical or booking information
• contact email
• phone number
• newsletter preference

Information intended to describe the artist or act may eventually appear in PDX Live Events directories, articles, listings, or other public features.

Private contact and administrative information is not intended for publication unless it has separately been provided or identified as public contact information.

Venue and organization information

Venue, promoter, organizer, and community-group submissions may include:

• organization or venue name
• type of organization
• website and social media information
• public-facing venue information
• areas of programming or focus
• capacity or operational notes
• contact email
• phone number
• newsletter preference

Information describing a venue or organization may be published in PDX Live Events directories and listings.

Contact information provided specifically for administrative communication is not intended for publication unless it is separately identified or provided as public-facing contact information.

Volunteer information

If you express interest in volunteering or create an authorized volunteer profile, we may collect:

• name
• email address
• area of interest
• experience, availability, or portfolio information
• username or handle
• authentication information
• moderation or verification activity

Authorized volunteer handles, activity, ranks, or similar information may appear within internal PDX Live Events tools.

Volunteer applications and private contact information are not public.

Partner accounts

PDX Live Events may provide accounts to authorized representatives of venues, organizations, and other partners.

Partner account information may include:

• name
• email address
• organization affiliation
• account and membership roles
• authentication information
• events submitted through the account
• portal feedback
• integration configuration
• account and integration activity

Passwords are handled through our authentication provider. PDX Live Events does not need to know or display your plaintext password.

Partner sessions may use a secure authentication cookie so the portal can recognize an authenticated session.

Partner integrations and API access

Authorized partners may create connections that allow approved external systems to submit event information to PDX Live Events.

We may maintain:

• integration names and types
• access permissions
• credential identifiers and cryptographic hashes
• expiration and revocation information
• last-use information
• external event identifiers
• submission and revision histories

Plaintext API credentials are intended to be shown only when created and are not stored in recoverable form by PDX Live Events.

2. Newsletter and Email Communications

You may choose to subscribe to the PDX Live Events newsletter.

Newsletter subscription is optional. Submitting an event, registering an artist or venue, applying to volunteer, or using another PDX Live Events service does not by itself enroll you in marketing email.

We may maintain your email address, subscription status, consent history, delivery status, and related records necessary to operate the mailing list.

Every marketing newsletter will provide a way to unsubscribe. When you unsubscribe, we may retain limited information showing that your address has opted out so that we can honor that preference and avoid adding the address back to marketing communications unintentionally.

Unsubscribing from marketing messages does not prevent operational messages that are reasonably necessary to respond to something you submitted, administer an account, address a security issue, or communicate about an existing relationship with PDX Live Events.

3. Information Collected Automatically

Like most websites, some technical information is processed when you visit or interact with PDX Live Events.

This may include:

• IP address
• browser and device information
• requested pages and URLs
• timestamps
• referral information
• security and request metadata
• approximate geographic information
• cookie and consent preferences

Cloudflare may process request information as part of hosting, security, abuse prevention, and delivery of the website.

We may also maintain request identifiers and other diagnostic information when a submission or service encounters an error. These records help us diagnose failures without requiring users to reconstruct the mysteries of what a server was doing at 2:13 in the morning.

4. Security and Abuse Prevention

PDX Live Events uses security tools including Cloudflare Turnstile to help distinguish legitimate submissions from automated abuse.

Security systems may process IP addresses, browser characteristics, request information, and verification tokens.

We may also use honeypot fields, submission identifiers, rate limits, logs, and other technical measures to prevent spam, duplicate submissions, fraud, unauthorized access, and abuse.

Security information may be retained when reasonably necessary to investigate or prevent misuse.

5. Cookies, Local Storage, and Session Storage

PDX Live Events uses limited browser storage for operational purposes.

This may include:

• cookie consent preferences
• authentication sessions
• event submission identifiers
• form or editing state
• volunteer preferences and activity
• interface preferences
• other temporary operational information
• Some storage is necessary for requested site features to work.
• Analytics storage is optional and is controlled through our cookie preferences.

6. Analytics

PDX Live Events uses Google Analytics 4 to understand how readers use the publication.

Analytics storage is denied by default and enabled only when the visitor provides the applicable analytics consent through our cookie controls.

When enabled, analytics may include information such as:

• pages viewed
• referral source
• general device and browser information
• approximate location
• session activity
• interactions such as newsletter signup

We use this information to understand readership, improve the publication, and evaluate how people discover PDX Live Events.

You can change your analytics preference through the site's cookie controls.

7. Links and Referral Information

PDX Live Events frequently links to venues, artists, organizers, ticket sellers, and other external websites.

We may add referral or campaign parameters to outgoing links so a destination can identify that traffic came from PDX Live Events and so we can understand which listings and links are useful to readers.

These parameters may identify the PDX Live Events listing or type of link being followed. They are not intended to transmit your name, email address, or other account information.

Once you leave PDX Live Events, the privacy practices of the destination website apply.

8. Images and Submitted Media

Images uploaded or submitted to PDX Live Events may be stored using our media-storage provider.

If you provide a publicly accessible image URL, PDX Live Events may retrieve the image from that address and archive a copy for use with the listing or other authorized publication purposes.

The original image host may receive a request from PDX Live Events when that retrieval occurs.

Submitted images may be resized, cropped, reformatted, or otherwise processed for presentation on different parts of the publication.

9. Information That Becomes Public

PDX Live Events is a publication. Some information is collected specifically because it is intended for public distribution.

Public information may include:

• event names
• dates and times
• venue names and public locations
• event descriptions
• admission information
• age restrictions
• artist and lineup information
• public websites and social accounts
• ticket links
• event photographs, posters, flyers, and artwork
• public artist or venue directory information

Information submitted for publication may also be indexed by search engines, shared through social networks, cached by third parties, or otherwise copied after publication. PDX Live Events cannot guarantee removal from third-party systems after information has been made public.

Private submitter identity, private administrative contact information, account credentials, and similar internal information are not intended for public publication.

10. How We Use Information

PDX Live Events may use information to:

• operate the publication
• review and verify event submissions
• publish and maintain event listings
• communicate with submitters
• maintain artist and venue information
• administer partner and volunteer accounts
• provide partner integrations
• deliver newsletters when requested
• respond to questions and feedback
• maintain editorial records
• investigate errors
• prevent fraud, spam, and abuse
• secure accounts and services
• measure readership with consent
• comply with applicable legal obligations
• protect PDX Live Events, its users, partners, and the public
• We do not sell personal information as a business model.

11. Service Providers

PDX Live Events relies on third-party services to operate.

Current providers may include:

Cloudflare

• Used for website hosting, content delivery, serverless functions, security, and Turnstile abuse prevention.

Supabase

Used for databases, authentication, and storage of operational information and media.

Resend

Used for email delivery, newsletter management, subscription synchronization, and email-delivery information such as bounces, complaints, and unsubscribes.

Google Analytics

Used for optional audience analytics when analytics consent has been provided.

Google Fonts and related web infrastructure

Some pages may request fonts or other static resources from external content-delivery services. Those services may receive ordinary web-request information such as an IP address and browser information.

External websites and media providers

PDX Live Events may retrieve submitted public media from external URLs and links readers to third-party ticketing, venue, artist, and event websites.

These providers maintain their own privacy practices and policies.

12. Data Retention

Different information needs to be kept for different periods.

PDX Live Events generally retains information for as long as reasonably necessary to:

• operate and maintain the publication
• preserve editorial and submission records
• administer accounts
• maintain security
• document consent or unsubscribe status
• resolve disputes
• comply with legal obligations
• maintain accurate event and organizational history
• We do not currently promise a universal automatic deletion period for all information.

Some records, such as newsletter suppression records, security information, submission history, and partner attribution records, may need to remain after other information has been deleted.

Publicly published material may also remain in third-party caches, archives, search engines, or copies outside our control.

13. Your Choices and Requests

You may contact PDX Live Events to request access to, correction of, or deletion of personal information associated with you.

Requests are currently handled manually.

We may need enough information to reasonably verify the identity of the person making the request.

Certain information may be retained where reasonably necessary for:

• legal compliance
• security
• fraud and abuse prevention
• editorial recordkeeping
• dispute resolution
• maintaining an unsubscribe or suppression preference
• protecting the rights of PDX Live Events or others

A request involving information that has been published may require different treatment from private account or contact information because PDX Live Events also maintains journalistic and editorial records.

14. Account and Credential Security

If you receive access to a PDX Live Events account or integration, you are responsible for protecting your credentials and access keys.

Please notify PDX Live Events if you believe an account or credential has been compromised.

We may revoke sessions, credentials, integrations, or account access when reasonably necessary to protect the service or its users.

15. Children's Privacy

PDX Live Events is a general-audience publication and is not designed to collect personal information from children under 13.

If we learn that personal information from a child under 13 has been collected in circumstances requiring removal, we will take reasonable steps to address it.

Events listed on PDX Live Events may be intended for families, minors, adults, or age-restricted audiences. Listing an event suitable for children does not mean the PDX Live Events website or submission systems are directed toward children.

16. Security

We use technical and organizational measures intended to protect information from unauthorized access, disclosure, alteration, and misuse.

No website, database, authentication system, or network can guarantee absolute security.

If we discover a security incident affecting personal information, we will respond as appropriate under the circumstances and applicable law.

17. Legal Requests and Protection of Rights

PDX Live Events may preserve, access, or disclose information when reasonably necessary to comply with applicable law, valid legal process, or enforceable governmental requests.

We may also use or preserve information where reasonably necessary to investigate fraud or abuse, protect users, enforce our Terms of Service, defend legal claims, or protect the rights and safety of PDX Live Events and others.

18. Changes to This Policy

PDX Live Events will update this Privacy Policy as the publication and its services change.

The effective date at the top of this page identifies the current version.

Material changes may also be communicated through the website or directly to affected account holders when appropriate.

We will not quietly rewrite this policy to pretend that a materially different historical practice was always disclosed.
